How to check a supplier is genuine
Six checks that take an hour, and the warning signs that should end the conversation — from a Dubai distributor who sees what happens when buyers skip them.
Most people buying laptops in bulk for the first time worry about price. The buyers who get burned were rarely overcharged — they paid a fair price for stock that was not what it claimed to be, to a company that stopped answering afterwards. These are the checks that take an hour and save a container.
1. Check the trade licence, not the website
Any company trading legally in the UAE holds a trade licence showing the legal name, licence number, activity and expiry date. Ask for a copy. Then check three things:
- Does the activity match? A licence for "general trading" or "computer trading" is what you want. A licence for something unrelated is a warning.
- Is it current? Licences expire annually.
- Does the name on the licence match the bank account you are asked to pay?
That last point matters more than the rest combined.
2. Never pay a personal account
A company invoice should be paid to a company account in the same name. If you are asked to send money to an individual's account, to an account in a third country, or to a name that does not match the invoice, stop. There is no good reason for it, and no recourse afterwards.
3. Ask whether the stock is new, and get it in writing
"New" means different things to different sellers. Get the supplier to confirm in writing that units are brand-new, sealed, and sourced through authorised channels. Words to watch for in the reply:
| Term | What it usually means |
|---|---|
| Brand new, sealed | What you want — factory sealed, full warranty |
| Open box | Returned or display stock. Often fine, but not new, and should be cheaper |
| Renewed / refurbished | Used, reconditioned. Legitimate trade, different product, much lower value |
| Grade A | A refurbisher's grading. Not new, whatever the grade letter suggests |
| As new / like new | Not new |
4. Ask for serial numbers before you pay the balance
A supplier who genuinely holds the stock can give you a serial number list. A supplier who is sourcing it after taking your money usually cannot. Serials also let you verify warranty status with the manufacturer — HP, Dell and Lenovo all have public serial lookup tools.
Check a sample. If the warranty on a "new" unit started eighteen months ago, the stock is not new.
5. Visit, or send someone
If you are buying a container, the cost of a flight is small against the risk. Walk into the warehouse. See the stock. Meet the person you have been messaging. Buyers who visit Dubai once usually buy from the same supplier for years afterwards, because the relationship stops being anonymous.
If you cannot travel, send a local agent, or ask a forwarder you already trust to inspect on your behalf. Many Dubai forwarders will do this for a small fee.
6. Start small
A first order should be small enough that being wrong is survivable. Sixty units tells you almost everything: whether the quote was honest, whether the specs match, whether the serials check out, whether the packing list reflects the cartons, and whether they answer the phone when something is wrong.
Warning signs worth walking away from
- A price far below everyone else. In electronics wholesale, margins are thin; a deep discount usually means refurbished stock, a different specification, or a scam
- Pressure to pay today because "the stock is going"
- No fixed address, or an address that is a mailbox
- Refusal to provide a trade licence or serial numbers
- Payment requested in cryptocurrency or to a personal account
- A company that only communicates through one messaging app and will not take a call
What a straight supplier does without being asked
Quotes per unit with a validity period. States clearly whether stock is in the warehouse or being sourced. Says no when something is unavailable instead of substituting. Provides serial records. Has a fixed address you can visit.
